Merchant onboarding in practice

A merchant has accepted a proposal, but the application is missing a document and the acquirer needs an answer to a follow-up question. The onboarding record should make the next action and its owner clear.

What to prepare

Prepare a typical application, required documents, merchant identifiers and the requirements for each acquirer in scope.

Review the workflow

  1. Map the accepted sales information into the application and check what still needs confirmation.
  2. Review missing evidence, queries and exceptions with the team responsible for resolving them.
  3. Agree what constitutes submission, approval and activation; keep those milestones distinct.

An application waiting on evidence

An incomplete application should have a clear next step. In this example, a merchant has completed the form but one document is unreadable. An assigned colleague requests a replacement and records the response. Separate stages for submission, acquirer review and activation show the team exactly where the application stands.
